ODOO SALES

Odoo sales from quotation to payment

Odoo Sales makes sense when quotations, prices, delivery dates and invoices can no longer be tracked reliably across separate spreadsheets and applications. The goal is to connect the process from the customer's request to payment, with clear responsibility for every decision and without re-entering the same data.

MAXCODE configures the sales process around how the company actually sells. The standard flow may be sufficient, but price lists, discounts, approvals, product availability, delivery and invoicing rules should be verified before configuration.

When do you need sales software?

Sales software becomes important when several people prepare quotations, customers have different terms, or sales depend on inventory, purchasing, manufacturing or project delivery. Producing a quotation PDF is rarely the main problem. The problem is not having a reliable answer to what was agreed, ordered, delivered and not yet invoiced.

Typical signs that the sales process needs attention include:

salespeople use different templates and price-list versions;
discounts are approved by email without a clear audit trail;
delivery dates are promised before availability is checked;
customer orders are re-entered manually for inventory or accounting;
partial deliveries and returns are difficult to connect to the original order;
management cannot distinguish contracted, delivered and invoiced value.

If you have a small number of simple quotations and one person runs the entire process, a well-maintained spreadsheet or existing accounting application may be enough. ERP becomes justified when the same data must continue safely across several departments.

What does the sales process look like in Odoo?

Odoo Sales manages the quotation and its terms. Once accepted, the quotation becomes a sales order. Depending on the product type and installed applications, the order can trigger delivery, project tasks, purchasing or manufacturing. The invoice is then prepared according to the agreed rule, such as ordered or actually delivered quantities.

A typical connected flow looks like this:

1. The customer sends an enquiry, or a salesperson opens a quotation from a CRM opportunity.

2. Products, quantities, prices, taxes, dates and payment terms are added.

3. A responsible person reviews exceptions, such as an unusual discount or deadline.

4. The accepted quotation becomes a sales order.

5. Inventory, the project team or manufacturing receives the confirmed demand.

6. Delivery and actual execution are recorded on connected documents.

7. The invoice is prepared from confirmed data, while payment is tracked in the financial process.

Not every step needs to be automated on the first day. It is more important to define who may confirm an order and which data supports that decision.

How should price lists, discounts and approvals be organised?

A price list should reflect the rules used in real sales. These may include currency, customer group, quantity threshold, validity period or a negotiated price. If a rule cannot be explained clearly, automating it will only produce the wrong price faster.

Before importing price lists, verify:

who owns each price list;
how its validity period is determined;
whether a salesperson may change the price manually;
which discount requires approval;
how rounding, currency and taxes are handled;
how historical prices differ from new quotations.

Approvals can be configured according to the scope, Odoo edition and actual responsibility. Approval is not needed for every quotation. It is usually better to target exceptions with real risk, such as a discount above an agreed threshold or a sale without a confirmed delivery date.

How does sales connect to CRM, inventory and invoices?

CRM manages the prospect, communication and probability of a deal. Sales takes over the specific quotation, price and terms. Inventory checks availability and records delivery, while accounting uses confirmed information for invoicing and payment follow-up.

A connected system reduces re-entry only when master data is maintained. Duplicate customers, unclear units of measure and obsolete products flow through the whole process. Data migration should therefore begin with cleaning, not with importing everything available.

If you first need to organise prospects and sales activities, see the CRM system for sales and customer management. For a broader project, review Odoo implementation in Croatia.

When is the sales application not enough?

The sales application cannot fix inaccurate stock, inconsistent tax configuration or an unclear delivery confirmation process. If customer dates depend on manufacturing capacity or supplier availability, the assessment needs to include manufacturing and Odoo Purchase. When selling projects or services, the business must define how completed work enables invoicing.

Special integrations can also change the scope. E-commerce, an external configurator, EDI, delivery carriers or an existing finance system require separate checks for data, responsibility and error handling.

What does an Odoo Sales implementation look like?

Implementation starts with several real quotations, including one normal and one exceptional case. They are used to verify customer data, price list, discount, tax, date, delivery, invoice and user permissions. Only then does it make sense to configure templates and automation.

Common steps include:

mapping the process from enquiry to payment;
agreeing on price lists, discounts and approvals;
cleaning customers, products and units of measure;
configuring quotation, order, delivery and invoicing;
a trial import of a limited data set;
testing normal and exceptional scenarios;
user training and report verification;
gradual inclusion of integrations and additional departments.

The time and cost depend on the number of price lists, data quality, integrations and exceptions. Odoo pricing should include more than licence costs when the full estimate is prepared.

What should you prepare for an initial assessment?

Prepare two real quotations, a sample customer order, a current price list and one case involving a partial delivery or quantity change. Record who approves the price, who confirms the delivery date and when accounting may create the invoice.

A useful first step, even without purchasing software, is a table with four columns: business event, responsible person, input data and resulting document. Places where the same information is entered again are the best candidates for integration.
