ENQUIRIES, QUOTATIONS AND SALES

Software for tracking enquiries, quotations and sales

Sales software should show who owns an enquiry, which activity comes next, which quotation is waiting for a response and what happens after acceptance. If one person handles a few simple quotations, an orderly record may be enough. A connected system makes sense when an enquiry must continue into an order, delivery, project or invoice without repeated entry.

MAXCODE implements Odoo CRM and Sales when a company needs a connected flow, and builds specific applications when the standard process does not cover the real requirement.

Why do enquiries and quotations remain unanswered?

An enquiry often stays in a personal inbox, message or note. Another person does not know whether the customer received a response, and a manager only sees the issue when the customer follows up. Software can provide one shared view, but the team first needs several simple rules.

every new enquiry receives a responsible person;
the responsible person records the next activity and date;
the quotation remains connected to the original enquiry and customer;
the reason for a lost opportunity is recorded consistently;
an employee's absence must not stop a response to the customer;
the manager monitors open commitments, not only the total opportunity count.

If these rules cannot be applied to ten real enquiries, a new CRM will not solve the issue by itself. Unclear responsibility should be removed first, together with an agreement on when an enquiry is considered handled.

Quotation software can organise the opening document, while invoicing software covers the final step. When an order, delivery and payment remain between them, check whether you need connected quotation and invoicing software instead of another separate tool.

How do you connect an enquiry, quotation, order, delivery and invoice?

In a connected process, customer details and agreed terms are not entered again on every document. One normal example may look like this:

the customer sends an enquiry and sales records the requirement;
the salesperson prepares a quotation from the current price list;
the customer accepts the quotation and it becomes a sales order;
inventory, the project or another responsible person receives confirmed demand;
delivery or completed work records what was actually fulfilled;
the invoice is created according to the agreed rule;
sales and finance can see what is waiting for delivery, invoicing or payment.

An exception is as important as a normal case. A quantity change, partial delivery, special discount or moved date must remain connected to the original agreement.

Is quotation software enough, or do you need CRM?

Quotation software may be enough if you need an orderly document, a current price list and a simple view of accepted quotations. CRM is useful when several conversations, activities, people and decisions happen before a quotation. The Odoo CRM for Croatian companies page explains this distinction in more detail.

CRM does not automatically have to mean a complete ERP. If the sales conversation is the main issue, begin only with enquiries, opportunities and activities. Assess integration with sales, inventory, projects or invoices only when an accepted quotation needs to trigger other departments.

When should sales be connected to inventory or projects?

Integration makes sense when a salesperson promises a date based on available goods, supply, manufacturing capacity or team schedule. In that case, a quotation is not an isolated document. It is a demand that another part of the company must be able to fulfil.

For product sales, check reservation, partial delivery, return and the quantity that is truly available. For service sales, agree when a project task is created, how completion is confirmed and what enables an invoice. Odoo Sales describes the flow from quotation to payment when these steps are connected.

When is the standard sales process not enough?

The standard process is not enough when a company has a special configurator, complex approval, external portal, contractual calculation or information coming from another system. This does not mean the whole process needs custom development. Separate the standard part from the real exception first.

Take one normal quotation and one that regularly creates extra work. Compare their data, decisions and documents. If they differ only in one check, a focused rule or small adjustment may be enough. If the entire flow differs, the assessment needs to cover the broader process.

What should you prepare for an initial sales assessment?

Prepare material that shows real work without sensitive information. A template that is never used is less valuable than an anonymised quotation that has passed through the whole process.

two real enquiries, one orderly and one problematic;
two quotations with different terms or outcomes;
the current price list and discount rule;
an example of an accepted order and delivery or completion;
the rule that enables the invoice;
a list of people who confirm price, date and exceptions.

These examples show whether you need only a better record, CRM, a sales application or a connected process.

How do you choose the first sales case to verify?

Choose a sales case that repeats often and has a clear ending. The first check is not meant to cover every possible discount and exception. Its purpose is to prove that an enquiry, quotation, order and result can be tracked without losing responsibility or entering the same information again.

You can send an anonymised quotation and mark where it currently moves from one person or application to another. That is enough to propose the smallest sensible scope.
